2 days fewer than yesterday morning (£1,180 less in the bank).

Halden Events Ltd's £4,800 is 19 days late. Paid, it buys 11 days.

How this works

A day costs £430: everything that left the business in the last 30 days, divided by 30. Transfers between your own accounts are left out.

Bills in your post and tax Ada knows about are taken on their day, on top of the pace, so the count errs short. Customers who pay on a steady rhythm are expected on it; a late customer is not, until they pay.

On Monday, she tells you what she did.

How it works

  1. Connect

Your bank through a regulated Open Banking provider, and Xero, QuickBooks or Sage if you use them. Ada reads; she never writes to your books.

  2. Sign one page

Say what Ada does by herself, what she asks you about first, and what she leaves alone. Change any line whenever you like.

  3. She does the work

Every working morning she does her rounds. On Monday she tells you what she did, what came in, and anything that needs you.

  • moves money without your bank asking you. She gets the payments ready; you approve them in your own bank.
  • sends the firm reminder or the final notice without asking you.
  • writes by herself to an address you have not confirmed, or to a customer who has never paid you before.
  • chases a customer twice within four days, or anyone you paused or marked in dispute.
  • keeps chasing once the money is in: she checks the books again the moment before each send.
  • files a return without your yes.

Ada thinks for herself

She works out what could happen, checks her own hunches and keeps score.

She plays out thousands of futures, follows anything odd through the books, weighs a big decision from every side and checks her own forecasts. Here she does all four on the example business, with the code she runs on real books.

Ada is working out the example business: thousands of futures, an investigation, three decisions and a year of her own forecasts.

Ada never moves money without your bank asking you, never files without your yes, and every figure has a receipt.

Everything else a finance director does

The rest of the job, done the same careful way.

Cash guardExample

She sees a cash dip weeks ahead, and lines up the fixes.

Ada looks thirteen weeks ahead. If cash would fall below what you keep in the bank, she works out the smallest set of fixes, the free ones first:

  1. Send a chase sooner. Ada does this one herself where your signed page lets her.
  2. Offer 2% off for payment within 7 days.
  3. Hold a bill that can safely wait.
  4. Take no drawings for a few weeks.
  5. HMRC Time to Pay, then an overdraft, with the pack the bank needs.

Two to five ask you first.

Cash dips below £1,000 in 6 weeks. With Ada’s fixes, it never does.

FilingsExample

Your VAT return and confirmation statement, ready two weeks early.

Fourteen days before the deadline Ada prepares the VAT return from your books, box by box, with the working behind each figure. She checks your confirmation statement against the Companies House register too.

Nothing is filed without your yes. With HMRC connected, the VAT return goes from here; otherwise your accountant files it. The confirmation statement you file on Companies House’s own site, with Ada’s checked answers.

Payroll and pensions

Payroll checked before payday. PAYE and pensions paid on time.

Your payroll software runs the payroll; Ada makes sure it is right. Switch on the check and, three working days before payday, she shows you this month against last month with every change, for you to confirm.

The PAYE and pension money goes into the week’s bills as a priority, and she keeps your auto-enrolment dates.

  1. Ada asks you to check this month's payroll against last month's
  2. Payday
  3. PAYE and National Insurance reach HMRC
  4. Pension contributions reach the scheme
Reports and packs

Monthly accounts and a pack for the bank, in words you can read.

Management accounts for any month, and, when you want to borrow, a lender pack for the amount and term you name. Both come as a PDF you can send.

Every figure has a receipt: click it and the transactions behind it appear. Code does the sums; Ada only writes the words.

Management accounts · September 2026Profit, cash, who owes you, what changed and why
Lender pack · £40,000 over 36 monthsWhat a bank asks for, laid out the way it asks
Supplier lettersExample

Letters to suppliers that bring your costs down.

Ada reads your regular payments and contracts, finds the ask worth making, and writes the letter. It goes when you say yes.

Then she watches the bills that follow and tells you what each letter saved.

  • A contract about to renew: the best renewal price, in writing, before it rolls over
  • A price that rose faster than inflation: the old price plus inflation
  • Something nobody uses: cancel it before the next payment
  • Short payment terms: 30, 45 or 60 days instead
Broadband renewal letter£276 a year
Phone callsExample

When you switch it on, Ada phones late payers. She always says she is automated.

Each call needs your yes, and happens only within the hours you choose. What the customer says is read like an email reply: a promise pauses the chasing, a dispute stops it, and you hear their own words.

Ada, on the phone

“Hello, this is Ada, an automated assistant calling for Kestrel Print Studio Ltd about the account of Halden Events Ltd. Am I speaking with someone who looks after their payments?”

Questions

Plain answers.

Anything else: leave your email on the founding list above and the founder will answer within a working day.

Does Ada move my money?
Not without your bank asking you. Ada gets the week’s payments ready as one batch, and you approve it in your own bank, which asks you for every payment. The connection she uses to read your bank cannot move money at all.
What if she gets something wrong?
Anything Ada sends by herself waits ten minutes first, with a Stop button (or reply STOP on WhatsApp). The firm reminder and the final notice always ask you. She learns from you: she only offers to send a kind of letter by herself after you have approved ten in a row without changing a word, and if you stop the same kind twice in a month, it goes back to asking you.
Do I need an accountant?
Not for the weekly work; that is what Ada does. She is not a regulated adviser, and most owners keep an accountant for the year-end accounts and tax returns. Add yours and their seat is free: they see what you see, and can download the year-end pack.
Does it work without Xero?
Yes. Connect your bank through Open Banking, or QuickBooks or Sage, or upload a spreadsheet of transactions. With no accounting software at all, raise your invoices through Ada and she chases those.
What does she do on day one?
Five short steps. You tell her about the business and connect your bank or accounts. She shows you her first look: your cash, who owes you and your next deadlines. You choose Off, Ask me or Ada sends for each job, and sign. Her rounds start the next working morning.
Will she remember what I tell her?
Yes. Ada remembers what you tell her: who your solicitor is, how you like to hear from her, which customer to leave alone. Say it once, in the app, by voice or on WhatsApp. She remembers only what you say yourself, and you can see and delete every item in Settings. How her memory works
Is my data safe?
We read your bank, your accounts and your finance email, and never write to your books. You sign in to your bank on its own pages, so we never see your bank login. Connection details are encrypted, you sign in with a one-time code rather than a password, and only you and the accountant you add see your figures. Every permission we ask for, and why
